access thread: Mail Merge & Access - Recreate Mail Merge Main Document??

Two years ago, I self-taught (with some help from a kind person I no 

longer have contact info for) myself enough Access/Word Mail Merge to 

complete a project involving a membership database and printed directory.  

Apparently, I knew just enough to be dangerous because I deleted the mail 

merge main document (which I now know is required in order to create an 

updated directory).  It took hours & days to get the original formatted 

the way I wanted it.  I don't even remember how I did most of it.  Is 

there any way to 'go backwards' and recreate a main document from 

the 'merged' document?  Any help would be greatly appreciated.

gone...

Sorry, I don't think any restoration method short of restoring from

backup can undo what was done 18 months ago.

I'm missing the mail merge main document - I guess you'd call it the 

template.  I have the document that contains the actual data - the 'after 

merge' document.  I'm hoping there's a way to recreate the main document 

from the merged document??!!

Well yes and no.  The merged document has allthe text of the original

template now all you have to do is set up the merge and replace the data

that the merged document has with merge fields.

Well, I replaced the first record's data with merge fields & deleted the rest of 

the records' data.  I completed the merge, but the new merged document did 

not retain the formatting of the original...I now have 1 record per page with the 

title repeated at the top of every page.  It's the formatting that took me forever 

last time.  I have no problem creating a new main document (template) - it's 

formatting it into the way I want it to look that I'm having trouble with, e.g. 

Title on 1st page only, a border line between records & at the top (except 1st 

page) & bottom of each page but not doubled, multiple records per page but 

no page breaks in the middle of a record, etc, etc...



I still have my original document - I've been playing around with 'test' copies.  

If you know of a way to turn the merged document back into a main 

document & still retain all formatting, I'm all 'ears'....

I had these same problems with the look of the document and I found 

solutions for making it look better.



When you have a desingview of the report you can 

-rightclick on the report

-you get a list where you can see wheither you have header and footer of 

the page and header and footer of the record

As the names tell you, you should have all the objekts for the every page 

in either header or footer of the page and all the objekts to be seen only 

at the beginning or end of the whole report in their header or footer.



When you activate a part of a document (click the title "data" or "header 

or something) you can rightclick on it and you get a list including

"sorting and grouping". This property tells .. well ofcourse how the data 

is grouped and sorted. In the group properties you can choose wheither a 

group is kept on the same page or not.

Is the merge document an Access report?  In which case, the title

problem is you have the title in the page title area as opposed to the

document title area.  If this is indeed an access report please write

back and I will give you more advice on how to deal with your other

wishes.

Thanks for the suggestions, but I did not use the Access Report feature - I 

used Mail Merge in Word...

No, it's not an Access Report - it's a mail merge document in Word that 

uses data from my Access database.  I think I originally tried to do it as a 

Report in Access, but gave up & did it in Word because I couldn't get 

Access to do some of the things I needed.



These are the things I still need to resolve:



1. Multiple records per page but no page breaks mid-record (currently, I can 

get 1 record per page or multiple records per page but with page breaks in 

the middle of the records at the end of each page)

2. Correct formatting of phone numbers (I used input masks in the database 

& reports there turn out fine - in Word, the numbers are all together with no "( 

)" around the area codes & no "-" separating the XXX-XXXX)

3. Title on 1st page only (may have added after merge - don't remember)
