I am not sure what you want here. Can you give an example using your table structure and the results you want to see?

It sounds like a problem with how you've set up the report. If I understand correctly, you need to either filter by date (if you're getting previous months) or set up supplier as a group of records (if they're getting more than 1 entry and you want them consolidated).

ok,

Let me Expain...Item Name : Laptop and the Categories : Computer & Accessories and Supplier : HP Compaq (for Example) ..I may buy the laptop twice a month for my office staffs and the supplier will be same . I may enter the other computer or other items in the database..I am taking monthlly report and the report will be:

 DateItem Name Categories Supplier

16/08/2006 Laptop Comp accss HP compaq

17/09/2006 Laptop comp access HP compaq

But i need the report as

 DateItem Name Categories Supplier

16/08/2006 Laptop Comp accss HP compaq --- (1)

 17/09/2006 Laptop comp access -do- --- (2)

did u understand for this i have to compare the (1) & (2) by {if else} function or by some other commands

bye

Making it look like that would require manual manipulation of the query and I wouldn't recommend it, what you could do is something along the lines of:

(Group1) Name, Categories, Supplier
(Details) DateItem

Then it would come out looking something like
Laptop Comp Access HP Compaq
    16/08/2006
    17/09/2006
