You do not say exactly where your data is coming from. However your general method is a bit questionable.
One way of importing data is to use the Menu Data/Get External data.
I more often use a method similar to yours, except that I get text file output from our Corporate database and just import it into Excel using File/Open. It is best not to get too fancy at this stage because the more you try to do here the more likely is data corruption.
Actually your other idea is not a bad one. It would be very easy to copy the text file data and Edit/Paste Special/Values into a preformatted sheet. I do not generally have to bother with this because I have to analyse the data, and that is what people tend to see.
